Privacy Policy

CarShare Tools (carshare.tools) is run by [Legal business name] (“we”, “us”). This policy explains what we collect, why, who we share it with, and the choices you have. It covers the website, the forwarding mailbox at mail.carshare.tools, and our mobile app.

Who this is for

CarShare Tools is a business tool for car-sharing and car-rental hosts. It is not meant for anyone under 18, and we do not knowingly collect information from children.

What we collect

  • Account details. Your name, email address and login details, handled by our sign-in provider, Clerk. If you join a team, we store which team you belong to.
  • Email you forward to us. When you forward Turo or other rental emails to your mail.carshare.tools address, we store the full email and pull out trip, vehicle, earnings and message details to fill your dashboard. These emails can include information about your guests, such as names, phone numbers, trip dates, locations and messages.
  • Fleet and business data you enter. Vehicles, reservations, expenses, notes, settings and anything else you type into the tools.
  • Documents you upload. Files you add to Documents, such as registrations, insurance cards or receipts. We don't ask for guests' driver's licenses or other ID documents. Please upload them only if you need to.
  • Host Network profile. If you create one: display name, photo, bio, city, approximate map location, fleet size, platforms, links and messages you send to other hosts.
  • Basic usage data. A first-party cookie that records how you first found us (referring site and campaign tags), a once-a-day record that you used the app, and standard server logs (IP address, browser, pages requested).

What we don't do

  • We don't sell or rent personal information, and we don't share it for cross-site advertising.
  • We don't use ad trackers or session-replay tools that record what you type.
  • We don't use AI to read your forwarded email. It is processed by fixed rules and code.

How we use it

  • To run the tools you use: your dashboard, reservations, finances, documents, messages and alerts.
  • To reprocess your stored emails when we fix or improve how they are read, so your history stays accurate.
  • To keep the service secure, fix problems and understand which features hosts use.
  • To contact you about your account or the service.

Guests and other people in your data

When you forward emails or enter reservations, you share information about your guests and other people with us. We process it only to provide the service to you and don't use it for anything else. You are responsible for having the right to share it and for following the rental platform's rules and the laws that apply to you. If you are a guest and want to ask about information a host has sent us, email us at [contact email].

Who we share it with

We use these service providers to run CarShare Tools. They handle data only on our behalf:

  • Clerk: sign-in and account management.
  • Vercel: website hosting.
  • Supabase: database and document storage.
  • Amazon Web Services: receiving, storing and processing forwarded email.
  • OpenFreeMap and Photon (Komoot): map tiles and turning a city name into a map location. Your browser contacts them directly when you view a map, so they see your IP address.

We also share information when you tell us to, for example when you connect an integration or send data to a webhook you set up, and with other hosts for the parts of your Host Network profile you choose to show. We may disclose information if the law requires it, to protect people's safety or our rights, or as part of a sale or merger of the business.

Cookies

We use cookies to keep you signed in, to remember your settings, to record how you first found us, and to count active users once a day. All of these are set by us or by Clerk for sign-in. We don't use advertising cookies.

How long we keep it

We keep forwarded emails for as long as your account is open so they can be reprocessed and your history stays complete. Other data is kept while your account is open. You can delete your account from the Account page. That removes your login, forwarding address and fleet data. Some copies of stored email and backups may remain afterward. To have those removed too, email [contact email] and we will delete them, unless we need to keep something to meet a legal obligation.

Security

Data is encrypted in transit, and each fleet's data is separated so other accounts can't read it. No system is perfectly secure. If a breach affects your personal information, we will tell you as the law requires.

Your choices and rights

You can view and edit most of your data in the app, hide fields on your Host Network profile, and delete your account at any time. Depending on where you live, you may have a right to access, correct, delete or get a copy of your personal information, and to not be treated differently for using these rights. To make a request, email [contact email]. We may need to confirm your identity first.

Where data is stored

CarShare Tools is run from the United States, and your data is stored and processed there. If you use it from outside the US, your information will be transferred to the US.

Changes

If we change this policy, we will update the date at the top. If a change is significant, we will tell you in the app or by email before it takes effect.
